How I Designed a CRM Solution for a CA Agency as an Intern ?

I didn’t expect to be given such a big responsibility just a week into my internship, but at iQTrek Consulting Ltd. A small startup with big goals, that’s exactly what happened. With only one senior designer on the team, there was no time for me to slowly settle in.

Before I knew it, I was asked to design a CRM software for a chartered accountant agency. The deadline was tight, and the client was waiting.

Was I Ready ?

I wasn’t completely sure if I was ready, but I knew I had to jump in and do my best. I received a list of requirements and was asked to create sample UI Mockups to showcase to the client. It was a little bit of experience, learning, teamwork, and problem-solving.

I quickly adjusted, working closely with the team to create something that not only met the client’s needs but also impressed them.

Confused to Contributing in a Feature Map

After the project kicked off, we had a team meeting with three developers, one business analyst, and me - the only designer. The goal was to discuss about the features Map.

At first, I felt completely lost. They were asking me about which features to add and talking about things like database design, CRUD, and development sprints - things I didn’t understand at the time.

at the intitial stage, i did't understand the concepts

I started to understand what was important for the UI

A very special part of the process for me is the brainstorming session with my senior designer. During these sessions, we go beyond just the project requirements and dive into so many interesting, out-of-the-box ideas. I really enjoy these moments because they open up new perspectives.

After these sessions, I begin analyzing competitors, noting their micro-interactions, delight points, and pain points. This exploration gives me fresh insights into the project requirements. From this, we discovered some key pain points that really stood out.

The User Flow Confusion

The User Flow Confusion

After gathering all the information, I jumped into creating the user flow. As a beginner, I followed the format I had learned in my bootcamp. I was explained the flow to my senior designer.

But there was a problem - He couldn’t follow the flow, and the questions he asked only made me realize I wasn’t as clear on the concept. Half the day had passed with no progress, and I found myself stuck. I wanted to fix things, but I didn’t know how.

How I Found My Way

How I Found My Way

Despite the difficult start, something shifted. My senior designer’s frustration transformed into a valuable teaching moment. Instead of leaving me to figure it out on my own, he pulled up his past projects and walked me through each step of the user flow. I was grateful.

I also sat with the developer and inch by inch, things started to click. Eventually, everything fell into place. I reached a point where I not only understood the flow but could confidently explain it to the entire team - this time, without needing any help from my senior designer. This was my first team meeting, it was very special to me.

Starting trouble in Information Architecture

When I first started working on the information architecture, I felt a starting Trouble and wasn’t sure how to move forward. So, I had a casual chat with my senior designer, just to get a little guidance. He gave me some simple tips on making it more effective and detailed, and that completely shifted my perspective.

The biggest lesson I learned ?

It’s all about the detailing. Whatever you're working on, focusing on the detailing can make a huge difference in the outcome. That quick conversation taught me the value of being detail-oriented in my design process.

Did Wireframes Boost My Team Collaboration?

Did Wireframes Boost My Team Collaboration?

I’ve really grown to enjoy the process of sketching wireframes, especially when I dive into every little detail. Writing down the micro-interactions as I go helps me understand the design concept much better. It also makes it easier for me to explain things clearly to the team during meetings.

In one of our team meetings, we had a great brainstorming session - lots of discussions, some solid appreciation, and a few really useful insights. Those insights helped me shape a better user experience for the product, and the whole process felt super rewarding.

From Wireframes to Visuals

From Wireframes to Visuals

After sketching my wireframes, it was time to bring them to life through visual design. I focused mainly on the Profile and Login modules for the Admin, Client, Employee, and Owner roles. It was a really satisfying process, seeing everything come together from rough sketches to polished screens. Every detail I’d worked on during the wireframing stage helped guide the design, making it much smoother.
